This checklist defines how content is created, reviewed, approved, published, and modified over time.

Editorial workflow and change control apply to all Pages and Posts once planning and system configuration are complete. These rules exist to prevent content drift, inconsistent updates, and undocumented changes.

Checklist Objective

Establish a clear, documented workflow for content creation and ongoing change management so updates remain intentional, traceable, and governed.

Preconditions

Checklist Steps — Content Lifecycle

1. Define content creation stages

  • Draft — content is being created or revised
  • Review — content is complete and awaiting validation
  • Approved — content is cleared for publication
  • Published — content is live and authoritative

2. Define review requirements

  • Confirm what must be reviewed before approval
  • Review structure, accuracy, and alignment with systems
  • Confirm formatting and image standards are followed

3. Define approval criteria

  • Content follows Page/Post role definitions
  • All required checklists are complete
  • No undocumented deviations exist

4. Define readiness for indexing

  • Confirm content is complete and stable
  • Confirm indexing intent aligns with site state
  • Do not index draft or transitional content

Checklist Steps — Change Control

5. Define what constitutes a content change

  • Structural changes (templates, layout)
  • Formatting changes
  • Image or media updates
  • SEO or metadata updates

6. Define change documentation rules

  • Record what was changed
  • Document why the change was required
  • Note any observed side effects

7. Define update cadence

  • Confirm how often content is reviewed
  • Avoid reactive or ad‑hoc updates
  • Batch changes when possible

8. Validate changes before publication

  • Review content after updates
  • Confirm formatting and images remain compliant
  • Confirm no unintended scope changes occurred

  • Documented content lifecycle stages
  • Clear review and approval criteria
  • Traceable change documentation
  • Controlled, repeatable update process
